HR verification workflow

Follow these five steps from the first candidate invitation through the final I-9 verification record.

01

Dashboard

Start here to see workload and urgent items.

  • Open cases that need HR review
  • Follow up with waiting candidates
  • Check processing and high-attention cases
02

Initiate Check

Create the candidate’s verification case.

  • Enter the candidate’s basic details
  • Confirm the email address
  • Send the secure upload invitation
03

Cases

Track every case from one searchable list.

  • Filter by workflow status
  • Resend an expired invitation
  • Open the selected case workspace
04

Case Review

Review the candidate’s evidence and verification result.

  • Check candidate and document details
  • Review OCR, quality, and risk findings
  • Approve, reject, or request a re-upload
05

I-9 Records

Complete the employment eligibility record.

  • Confirm Section 1 information
  • Complete employer Section 2 review
  • Validate List A or List B + List C
Recommended practice: Use the Dashboard for prioritization, the Cases page for tracking, and the Case Review page for the actual HR decision. Complete the I-9 record only after the required candidate and document information is available.

Common HR questions

Use New case, enter the candidate’s required details, verify the email address, and send the secure invitation. The new record will then appear in Cases.

Awaiting Documents means documents have not been submitted. Invite Expired means a new invitation is required. Verification In Progress means automated checks are running. Needs HR Review means results are ready. Re-upload Requested means a reviewer asked for a new photo. Approved and Rejected are final HR decisions. The same words are used on the dashboard, the cases table, the pipeline, and the case page.

Review the candidate details, uploaded document images, OCR-extracted values, document quality results, cross-document consistency, risk findings, and any supporting documents. Resolve significant issues before making the final decision.

Open the case, review the stated quality issue, and use Request Re-upload when a clearer or complete document is required. Add a short note so the candidate understands what must be corrected.

Go to Cases, filter for Invite Expired, and select Resend Invite. The existing case is reopened and a fresh secure link is sent to the candidate.

The record should contain either one acceptable List A document, or one acceptable List B document together with one acceptable List C document. HR should also confirm that Section 1 and Section 2 are complete.

Open the candidate’s Case Review page and use the case timeline or audit history. It should show important events such as invitations, uploads, analysis, reminders, re-upload requests, and the final HR decision.
